International Students
International students are eligible to work on campus (if allowed by the conditions of their visa) under the University Work Program, but must first contact Krittika Onsanit in the Office of International Education for an authorization letter. This letter not only indicates that your visa allows you to work on campus, but also stipulates the number of hours you may work each week. Then, once you have secured a job on campus, you must contact the Office of International Taxation (OIT) (not Student Employment) for information about completing the required pre-employment tax and I-9 paperwork.
Steps to Become a Student Employee:
The international student:
-
obtains a letter from International Education (Krittika Onsanit) indicating that she has authorized them to accept part-time on-campus employment and the conditions that s/he must adhere to.
-
looks for and acquires an on-campus job. The supervisor sends an original Job Approval Form to Student Employment.
-
emails or calls Nancy Colon ncolon@richmond.edu (x6007) in the Office of International Taxation (OIT) to make an appointment to complete pre-employment tax & I-9 paperwork. She will instruct them on what that they need to bring with them and describe the process of applying for a social security card.
- if the international student does not have an Social Security Number (SSN), the student will get a letter (on UR letterhead) from Nancy Colon stating their work information and employer information. The student delivers this letter to the student's supervisor for signature and the student then takes it to the Social Security Administration to apply for the card.
- is given a Release to Work form from Nancy Colon to give to their supervisor to notify them that s/he is approved to work on campus. The student may start working.
- The student applies for a social security card and returns to the Office of International Taxation to present the receipt that they applied for the card. Directions are at http://controller.richmond.edu/forms/ssadirections.pdf When the card is received, s/he must promptly present it to OIT. Checks may be held in the OIT after a reasonable amount of time has passed and the student has not presented his new social security card.
- continues to work while OIT forwards the pre-employment paperwork to Student Employment who matches it with the JAF (or payment memo) and enters the student job into Banner. The pink copy of the JAF, if applicable, is sent back to the supervisor to indicate that the student can begin entering/submitting time. International students must submit their time during the active pay period.
For more information on this topic please visit the International Education website.
Work Hour Limitations - Strictly Enforced
International students are limited to working no more than 20 hours per week during academic periods and 40 hours during breaks. Students' hours are tracked closely and students will be terminated from the Student Employment program if they violate this requirement. Hours must be submitted timely in the current payroll period. Your visa requires compliance and must not be violated, even once. If you have questions, please contact Krittika Onsanit in International Education or Sue Young in Student Employment.
End of the semester payments, check requests, or salary jobs are assigned a specific weekly hour amount which must be taken into account towards your weekly totals. If you are unsure as to the amount of hours assigned to your position, contact your direct supervisor or Sue Young in Student Employment. Some examples:
Residence Assistants RAs -- 15 hours per week
