Summer Employment for Student Employees
Summer Employment Dates: May 3–August 22, 2026
- Students who lived on campus in the spring, plan to return in the fall, and will reside in the U.S. during the summer can continue to work as Virginia residents.
- Students will continue to check-in and out for all shifts worked throughout the summer.
- Shifts longer than 5 hours should permit at least a 30 minute meal break where work is not being done. If taking a meal break, students should check out and then check back in when meal break is over (in Workday). If student is performing any work duties on their meal break, they do not need to clock out.
- As a reminder, student employees are not eligible for holiday pay and should not be scheduled for shifts that would result in overtime.
- Student employees may take unpaid leave on a holiday or adjust their work schedule during the holiday week to ensure their total weekly hours align with expectations. Any student employees working on a University holiday should log their hours in Workday as they normally would. Student employees and managers should work together on any schedule changes due to the Juneteenth holiday.
Graduating Students
- May and August graduates can work in their current jobs until August 22, 2026, if they are U.S. citizens or Permanent Residents and staying in Virigina. May graduates not meeting these criteria — including getting hired into a new job — must be onboarded through HR, pending business need and subject to approval.
- Graduating international and exchange students cannot work after the last day of classes. Contact Devon Slough (ncolon@richmond.edu) in International Taxation with any questions.
Ending Jobs

Graduating Students’ jobs (if they are they are U.S. citizens or Permanent Residents) will automatically terminate all graduating seniors' positions at the end of the summer unless you notify us of a different end date.

Graduating (or otherwise withdrawing) non-citizen students’ jobs will automatically terminate on their program end date according to their employment documentation.

Jobs that currently have an end date in 2026 will be ended on the date that exists in the system unless you notify studentemployment@richmond.edu otherwise.

Managers, please review the UR All Open Student Employment Jobs Report in Workday and contact studentemployment@richmond.edu to close inactive positions or extend the end date on jobs that have a 2026 end date but are no longer expected to end on that date.
- To access the report, search "UR All Open Student Employment Jobs Report" in Workday. You will add your Sup Org and hit submit to see all open positions, names and titles of those positions, start and end dates, hourly rates, the cost center, and more.
New Hires
- New student employees shall fill out the Student Pre-Employment Form to reserve an appointment to complete their I-9. They must bring their unexpired, original I-9 documents to HR. If working remotely, they must complete this before leaving campus.
Federal Work-Study: No FWS funds are earned in summer.
