Remote Work Pre-Employment Paperwork Upload Tool

Welcome to the Office of Student Employment's new Secure Pre-Employment Paperwork Upload Tool! The privacy and safety of your data is extremely important to us. You can rest assured that once the Office of Student Employment receives your documents they will be stored in a secure data management system.

Complete the following packet of forms:

  • Employment Eligibility Verification - I-9 form; you complete page one of the I-9, and we complete page two.
    • To complete the I-9 form, you must present unexpired, original document(s) from the list of acceptable I-9 documents to prove that you can work in the U.S. Pick one document from column A OR a combination of one document from column B and column C. Instructions for the I-9 form is available here. Although current circumstances prevent these documents from being presented in person at this time, you must upload a copy of the original along with the completed forms and then remember that you are responsible for presenting the original when you return to campus.
  • State income tax form - VA-4
  • Federal income tax form - W-4

By submitting your documentation remotely, you acknowledge and agree to the terms of your employment being limited by compliance to the regulations and standards of the U.S. Department of Homeland Security and accept the responsibility of presenting your unexpired, original identification documents from the list of acceptable I-9 documents in person once normal operations resume. Furthermore, you acknowledge this as your notice that failure to do so will result in immediate termination.

Browser and Device Compatibility

For the best experience, it is recommended that you use Chrome, Firefox, or Edge browsers. Safari version 12.x is also supported; however version 13.x is not. Additionally, the latest mobile iOS version 13.x is not supported when accessed from an iPhone or iPad. Older versions of iOS may be supported but we recommend using one of the supported browsers listed above from a computer or Android device.

Preparing your Documents

-If you are scanning or photographing your paper documents, please write the the student's last name, first name and student ID on the first page of the documents before scanning.

-If you are sending an already created .pdf or image, if possible, please rename the document file name to include the UR student ID, last name of the student and brief description (e.g., momw2, par1040, st1040, etc.).

File Requirements:

  • File names should not contain any special characters (for example: / , + & ! ' *).
  • File types that end with .exe cannot be submitted.
  • Size limit is 100 MB (megabytes). Most files are less than 1 MB.

Acceptable File Formats:

.pdf, .doc, .docx, .xls, .xlsx, .rtf, .txt, .jpg, .jpeg, .png, .tiff, .tif
