  • Why do I need to complete the I-9 form and provide documentation before I start my job?

    All new employees in the U.S. must complete this form before they start a new job. This is usually done on or before the first day of work. Student Employees at the University of Richmond are required to follow the same rules as regular staff and faculty.

  • Why do I need to show original documentation instead of a copy or picture?

    The requirement that you present an original document in order to work on campus is not a University of Richmond requirement, but a federal Department of Homeland Security requirement. Every new employee in the United States is required to present original documentation to meet form I-9 (Employment Eligibility Verification) requirements when starting a new job. Check the list of original documents that you can use to meet the I-9 (one item from column one or one item from columns two and three each).

  • What if I don’t have original copies of my documents?

    If you did not bring your passport, birth certificate or social security card to campus with you, contact your parents or guardians and ask them to mail one of the original document to you.

    If you feel that this is not an option, you can apply for a free replacement card with the Social Security Administration. When you apply for a replacement card the SSA will issue you a receipt. With this receipt and a valid driver’s license or your UR Student ID card, visit Human Resources to complete your I-9 form in order to begin work.

    To get started with the replacement process:

    • Visit the local Social Security Office, or online through the Social Security Administration website if you have a driver’s license from states that are eligible. To see which states are eligible, visit the Social Security Administration website
    • If you are eligible to request a replacement Social Security Card online you will need to login/create a My Social Security Account directly from the Social Security Administration. Please only use this link from the Social Security Administration and do not use any other websites or internet searches.
    • You may also apply for a free replacement Social Security card at any Social Security Administration office. The office closest to campus is located at 1834 W. Cary Street (about 15 minutes from campus).
  • How can I start working today if I don’t have any of the I-9 documents with me?

    The Social Security Office will give you a receipt stating that you have applied for a replacement Social Security card. This is a temporary solution — when you receive your new Social Security card (in about two weeks), you must bring it to the Office of Human Resources (Weinstein Hall, ground floor) to complete your employment requirements. If you do not, you risk not being able to continue working.
